1. Setting up your Cisco with encryption
By default, calls between your device and the Voys telephony platform are transmitted unencrypted over your network and the internet. By using encryption, your calls are encrypted only between your phone and our platform.
Both the SIP packets and the audio itself (RTP) can be encrypted. This ensures that no one can listen in on your conversation by intercepting network packets. We use TLS for encrypting the SIP packets. The RTP audio is secured using SRTP.
First we'll set up encrypted calling in Freedom
- Log in to Freedom.
- In the menu bar, click on Admin.
- Go to VoIP account.
- Select the account you want to use for encrypted calling.
- Go to the tab Advanced SIP settings.
- Check the box for Force encryption.
- You will now get a popup that indicates changes still need to be made to your phone.
- Click on Continue.
- Click Save at the bottom of the page.

2. Setting up Cisco BLF (Attendant Console)
An attendant console is ideal for individuals who handle a lot of phone traffic and frequently need to transfer calls. You can connect up to two attendant consoles to one device. The SPA500s or SPA500ds offer the following features when properly configured:
- BLF (Busy Lamp Field): this shows you which colleagues are on a call.
- Speed Dial: call a colleague with one press of a button.
- Call Pickup: answer a call for a colleague.
Here you can read how to do this.

2.4 How do I set up BLF if I have multiple companies with one receptionist?
If you have one receptionist who answers the phone for two companies, it's necessary to add a VoIP account for each company in your device. By default, BLF only works for account 1. If you have set this up, continue reading.

3. Turning off Call Waiting on your device
When you are on a call and receive another call, you will hear a beep tone through the line. This can be distracting, so in some cases it might be better to disable this feature. You will then not receive any notification of a new call when you are already in a conversation.
How do I turn off this feature?
A Cisco device can receive four (SPA504) or three (SPA303) lines by default.
- Press the menu button on your device (the button on your device with the folded corner).
- Go to option 5 Preferences.
- Choose option 16 Call Waiting. This currently shows Yes.
- Press the function key that shows edit above it.
- Press the button y/n and Yes will change to No.
- Then click on Ok and then on Save to save this change.
Will my lines still come through?
All you've done is turn off the beep tone. Missed calls will follow the next step in the dial plan just as they did before the adjustment.
4. Setting up the address book
There are multiple ways to set up an address book on a Cisco device.
Via the contacts list
The first option is creating a contact list on the device itself. You can do this as follows:
- Press the soft key dir
- You will then see a list of contacts you have added.
- Press the soft key add. Enter the contact information you want to add and confirm with the soft key save.
The contact is now in your address book.
As external phone book
Another option is to load an external phone book into your Cisco device. You do this by placing an XML file on a web server. Your phone then retrieves the file, placing the phone book in your device.
More information about loading an external phone book can be found in our technical wiki. Note: with this method of input, it is not possible to match incoming calls by phone number (this is possible when manually entering your address book).
5. Adjusting dialing time
The time you have to dial a phone number is set to 3 seconds by default. If you need more time, this can be adjusted.
How do I increase my dialing time?
Finding the IP address of the device
- Press the Page button(menu) on your Cisco device.
- Use the down arrow or press 9.
- Go to 9 Network.
- Press Select.
- Here you will see the IP address of your device.
- Go to the tab Regional.
- Scroll to Control Timer Values (sec).
- There you will find Interdigit Short Timer.
- This is set to 3 seconds by default. If you want more time, 7 seconds is a good option.
- Then press Submit all changes.
- Your dialing time is now adjusted.
Are there other options to more easily dial a phone number?
- First, enter the phone number and only then take the receiver off the hook. This way you won't have to deal with the dialing time function.
- Call via our Click 2 Dial Extension, then you don't need to dial any numbers at all!
6. Changing internal number / extension on device display
If you have changed the internal number of a VoIP account in Freedom, the internal number on your device display does not automatically update. This is because the number shown on your device display is separate from the data in Freedom.
How do I change the internal number in my Freedom account?
- Go to Freedom
- Go to Admin.
- Go to VoIP Account.
- Here you can change the internal number, for example from 201 to 208.

7. Do not disturb (dnd)
Sometimes you don't want to be disturbed by your phone. You can then set your device to do not disturb mode.
On your Cisco screen, you'll see 'dnd' above the rightmost soft key. When you press this, you'll see 'do not disturb' appear on the screen. Your device will then stop ringing.
Depending on your dial plan, the incoming call will proceed to the next step in your dial plan. You can remove the 'do not disturb' by pressing the 'dnd' soft key again.
Tip: Change the softkey on your device to 'dnd'. Press the button in the top left or right of your handset until you see a selection screen. Click on 'do not disturb' and you can now set your device to 'dnd' faster!
8. Setting up internal ringtone on Cisco
Do you want to be able to hear from the ringtone whether you're being called by a colleague or a customer? In this guide, you'll learn how to set up an internal ringtone for your desk phone, so that an internal call gets a different ringtone than an external call.

You will now hear a different ringtone when you are called internally.
9. Transfer
9.1 With consultation/Warm
- During a call, press the softkey labeled 'xfer' ('drst'). This will put the first call on hold and you will hear a dial tone.
- You can now dial the phone number of the person to whom you want to transfer the call.
- Once the second person answers the call, you can have a conversation that the first person will not hear. This allows you to inform them who is calling and why they're calling.
- To transfer the call to the second person, press the softkey labeled 'xfer' ('drst') again. You will no longer be part of the conversation.
Note: If you end the call with the second person during the transfer process, the call will not be forwarded. The first person will remain on hold until you retrieve the call or transfer it to someone else.
9.2 Without consultation/Cold
- Cold transferring, which means transferring without first having a conversation with the person you're transferring to, is quickest using the softkey 'xfer' ('drst').
- During a call, press the softkey labeled 'xfer' ('drst').
- Dial the phone number of the person you want to transfer to, which can be either an internal or external number.
- Then immediately press 'xfer' ('drst') again. The call is now transferred.
